Standard Operating Procedure

Introduction

Standard operating procedures, often known as SOPs, are detailed instructions that guide employees’ work activities.

Effective standard operating procedures (SOPs) are built from the ground up, taking feedback from the people on the ground. SOPs are clearly defined and comprehensive. These are usually presented in numbered steps or via flow charts. Simplicity is key! A well-drawn SOP will lead to more consistent outputs for standardised tasks.

The SOP may also guide companies in evaluating their existing processes to streamline such processes for improved efficiency.

The Importance of SOPs

What are the advantages of developing, delegating, and managing standard operating procedures?

Enhanced Capabilities for Quality Control

“Get it right the first time”! Correcting errors and reworking cost time and money. SOPS allows for a unified quality management system that creates a standard workflow for accomplishing activities.

In unanticipated situations, conflicting objectives, or personnel shift changes occur, establishing processes to fall back on provides a baseline that ensures quality is not compromised.

After establishing some core SOPs, you may start looking for ways to improve your organisation’s overall efficiency through workflow enhancements. Consistent quality control is the foundation of top organisations.

Clearer Defined Roles and Responsibilities

“Why was this not completed?”

“Who was supposed to do this?”

These are common issues companies face – finger-pointing and shirking of responsibility.

Well-defined SOPs will minimise such issues as everyone will work on the same level of understanding. The SOP will spell out the steps to be completed, handover points and each staff member’s role in each process.

Improved Productivity and Performance

How do you improve your net profits without increasing revenue? By controlling costs. But how do you control costs? By having a more efficient operation. You can automate repetitive tasks to free your staff to handle more value-added work. This will also help to keep your team motivated. Ineffective procedures can also lead to lower morale; consequently, staff may be less productive.

Enhanced Safety in the Workplace

As an employer, we value our staff’s safety, and our responsibility is to ensure a secure working environment. Inadequate fall protection, electrical hazards, or chemical storage can increase the risk of accidents. Not only can occurrences of this nature unfairly damage workers, but they also result in high financial costs. Depending on your industry, SOPs can be drawn for safety and security protocols.

Use standard operating procedures to guarantee that all employees do their work without endangering themselves or other crew members.

Product Quality and Consistency

Standardised processes minimise the likelihood that stages will be skipped or other errors will be made, which can negatively influence the quality of the final output. With adherence to the SOPs, your product or service quality remains consistent.

Safeguard Yourself Against the Loss of Key Personnel

The loss of a key employee who knows the ins and outs of your company’s procedures may result in catastrophic effects on your company. This risk is mitigated through a well-produced SOP, as the replacement staff will need less learning time.

Faster Onboarding Time

The time spent training new hires may be reduced if documented processes are included in the toolkit. They serve as reference guides and enable new workers to work autonomously without relying too heavily on their superiors.

The efficiency of standard operating procedures is best evaluated using newly hired employees as test subjects. The processes are effective if the newly hired worker can complete the stages that have been outlined.

Setting Up and Maintaining SOPs

There are a few key points to note when you set up SOPs:

Keep it simple. SOPs should be readily understood. Our preferred approach is to work from the highest level and drill down to the lowest level.

Centralisation of the SOP documents. SOPs should be easily accessible to your employees. Preference will be for your SOPs to be in digital format stored in the Cloud (or similar) and easily accessible by your employees (subject, of course, to the level of access rights that you may mandate for your company).

Regular Review of the SOP. Ensure that the SOPs are reviewed annually, with changes to be made as soon as practicable.

Conclusion

Your business will run smoothly if your standard operating procedures (SOP) are well-written and describe in-depth your company’s processes. With a visual explanation of the steps, staff will have a blueprint to follow. Performance measurement is also more tangible as you have a stipulated benchmark to measure against. Your teams will find it much simpler to fulfil their responsibilities and reduce the need for questioning and micromanaging.
